What you need

  • A regular time that works for the team
  • Your KPI sheet, if you have one
  1. Use the same agenda every week

A fixed agenda removes the need for planning and keeps the meeting short. This one fits 30 minutes.

5 min Key numbers: on track or behind?
5 min Last week's actions: done or not done?
15 min Biggest problem: find a solution together
5 min New actions: who does what, by when
  2. Record actions, not long minutes

Keep one shared list with three columns: the action, the owner and the due date. An action without a name and a date is only a good intention.

  3. Move long discussions out of the meeting

If a topic involves only two people or needs more research, schedule it separately. Protecting the time is how the meeting stays useful, and how people keep coming.

  4. Start on time, and hold the routine

Begin on time even if someone is late, and start each meeting by checking last week's actions. People complete actions when they know they will be asked about them.
